Our awards team, to run the awards.
Our judges see your name, your age, your work and what you've told us about it. They don't see your contact details, address, school, date of birth, parent or guardian's details, or equal opportunities answers.
Connecting Notts receive your email address, and nothing else, only if you say yes to the Creative Futures Network mailing list.
Companies that provide services to us. The website and entry portal, and everything you give us through them, are hosted on our server with OVHcloud in the UK. Our emails to you, such as entry confirmations and results, are sent through Postmark. They only use your information to provide those services.
Postmark is based in the United States, so the emails we send through it, and the email addresses they go to, pass through its systems there. [It is covered by safeguards recognised under UK data protection law (to confirm)].
We don't sell your information, and we don't share it with anyone else unless the law requires us to.
If your entry is shortlisted, your name, your work and a short description of it may appear in the exhibition, the awards brochure and on our website and social media. When we use photographs of group entries, we don't name the young people in them in full.
When you submit an entry, we ask whether you'd like to join the Creative Futures Network mailing list for information about creative events, webinars and opportunities across Nottingham. If you say yes, we share your email address with Connecting Notts, who add it to the mailing list. From then on, Connecting Notts is responsible for how it's used, and you can unsubscribe from their emails at any time. [Link to Connecting Notts' privacy policy once they've provided one]
These times are counted from the date entries close for that year's awards:
equal opportunities answers: 30 days;
entries that aren't shortlisted, including unfinished and withdrawn entries: 90 days;
shortlisted entries, including winners: 1 year, so we can put on the exhibition, make the brochure and hold the ceremony.
When an entry is deleted, everything that came with it goes too, including uploaded files, parent or guardian details and group members' details. For shortlisted entries we keep a short record for the history of the awards: the entrant's name, category, age group, result and brochure description, with no contact details. We also keep overall numbers for each year, which don't identify anyone.
Your account is kept until you delete it. If you don't sign in for two years, we'll email you, and if you don't sign in within 30 days of that email we'll delete your account and everything in it. Security records are deleted after 400 days.
Uploaded files are stored privately, never on public web pages, and checked for viruses.
Equal opportunities answers about ethnicity are stored encrypted.
Judges and our awards team must use two-step sign-in, and can only see what they need for their role.
We keep a record of who signs in and who views or changes information.
You have the right to:
ask for a copy of the information we hold about you;
ask us to correct it if it's wrong;
ask us to delete it. You can delete your own account, with everything in it, at any time from your account page;
object to how we use it, or ask us to limit how we use it;
withdraw your consent at any time, for example to the mailing list. Please also unsubscribe from Connecting Notts' emails, as we can't remove you from their list.
To use any of these rights, email info@youngcreativeawards.org. We'll reply within one month.
If you're unhappy with how we've handled your information, please contact us first. You can also complain to the Information Commissioner's Office (ICO) at ico.org.uk or on 0303 123 1113.
